Rentals Dashboard

Rentals are a great way to serve those needing a temporary set of clubs, such as someone on vacation and playing one round of golf. Utilizing rentals is a great way to provide that next level of service or showcase sets you might sell in the shop.

Before proceeding with the rental process, it is important to review the Rentals Dashboard. Here, you will place, manage, and view existing rental orders and reservations.

In this article, we will discuss the available options on the rental Dashboard.

Dashboard View:

To access the Dashboard, go to Services > Rentals > Dashboard. On the Dashboard, your current rental orders will be organized from top to bottom by expected return time (as shown below).

When viewing the Dashboard, you can filter the Dashboard with the following options (as shown below):

  • Current Rentals

  • Overdue Rentals

  • Reserved Rentals

  • Past Rentals

  • Sold Rentals

  • Never Returned Rentals

  • Expired Reservation

You can also change the sort order by clicking on the column titles (as shown below). Note: Not all columns are sortable (i.e., Barcode)

Viewable Fields:

You can also change what columns are displayed by clicking on the "Fields" button (as shown below)

Rental Actions:

Each rental order has a quick action options menu. Click on the action dropdown, and you will be able to edit, email, send reminders, and more (as shown below).

The following quick actions are available:

  • Finalize: Finalize the rental order to be marked as returned.

  • Send Email: Send an email to the member/guest regarding the rental order.

  • Send Email Reminder: Send a reminder email to the member/guest that the rental is overdue.

  • Send Text Reminder: Send a reminder text to the member/guest that the rental is overdue.

  • Edit: Edit the Rental Order.

  • Cancel: Cancel a rental club order.

Advanced Rental Search:

At the top of the Dashboard, you can quickly search rentals by member/guest name, type, tracking, or other information (as shown below). For more details on the quick search and advanced search features, Click Here.

Rental Status Alerts:

You may notice that a rental is tagged with a flag in the status column. These flags provide an easy visual to alert you to the status of that particular rental. The following are flags you will see on the Dashboard:

  • In progress (Green): The rental has been issued and is not in the golf shop.

  • Card Authorized (Turquoise): Credit card information was entered and verified.

  • Overdue (Red): A rental is past its expected return date.

  • Reserved (Mint): The rental set has been reserved for a future date/time

  • Expired Reservation (Red): Rentals with expired reservations.

  • Reserved Sold/Lost: Rental Reservations that were sold/lost from when the reservation was made.

Quick Action Button

In the status column to the right, you might also notice the "Fast Forward" icon (shown below). This icon allows you to quickly transition the rental to the next stage with one click.

The quick action can be used in the following circumstances:

  • Reservations can be moved to in progress if no adjustments to the reservation window are needed.

  • You can start a reservation before the reservation window as long as it does not conflict with another reservation or an in-progress rental.

  • When finalizing an in-progress rental.

  • Expired Reservation can be finalized.

The quick action button can also be off for reservation in the following circumstances:

  • A rental reservation, when the rental item is in an in progress rental. This situation can be encountered when there is an overdue rental, or the manager attempts to start a rental before the reservation window.

  • A reservation is marked as "Reserved Sold/Lost."
