Finalizing Stock Orders

A stock order is considered finalized when the order is received into inventory, the vendor invoice is received, and processed. You can finalize a stock order from the Stock Order Dashboard on a computer or when using the Mobile and iPad apps. There are defaults set to finalize an order, and those defaults can be adjusted to fit your club's needs by changing them in the Stock Order General Settings.

Finalizing a Stock Order:

To finalize an order, follow these instructions:

  1. Go to Orders > Stock Orders > Dashboard and click "Finalize" for a stock order that is in the "Delivered" stage.

  2. Check off each required step to finalize a stock order (as defined in your stock order general settings). Steps include:

    1. Vendor Invoice Received: The club has received the vendor invoice. When selected, enter the vendor invoice number.

    2. Received into Inventory: The stock order has been received into the club's inventory management program.

    3. Invoice Processed: The vendor invoice has been processed.

    4. Shipping Cost: Optionally enter the final shipping cost of the item for your reference.

  3. Click "Save" (as shown below).

Once all three steps have been completed, the stock order will be marked in green as "Finalized." It will remain in the "Delivered" stage for 24 hours. After that time, it will be removed from the dashboard and archived (but still available via Stock Order Search).

If all the steps have not been completed, the order will be marked in red as "not finalized" on the dashboard (as shown below).
