Managing Demo Inventory via Spreadsheet

Your demo club inventory can be updated manually or via spreadsheet. Depending on the update, for example, if you intend to update a large number of clubs or only a few, or if you are adding or editing a few clubs, it will determine how you want to update your demo inventory. If you are adding a new inventory, replacing an inventory, updating, or editing a large number of clubs, you will want to manage your inventory via spreadsheet.

In this article, we will discuss how to manage your inventory via spreadsheet for the following scenarios:

  • Uploading New Demo Inventory via spreadsheet (i.e., add a new inventory or add new inventory to existing inventory)

  • Updating existing inventory via spreadsheet (i.e., edit, add and remove inventory)

  • Replacing the entire inventory via spreadsheet (i.e., delete the entire current inventory and add a new inventory)

  • Delete your existing inventory (i.e., remove your existing inventory without replacing it)

Uploading New Demo Inventory:

Your demo club inventory can be entered manually or uploaded via spreadsheet. In cases where you have a large inventory to upload, the most efficient way to upload your inventory is via spreadsheet, especially if you already have the information contained in a spreadsheet.

You may also need to add new demo inventory to the existing inventory throughout the year. For example, you may want to add a collection of new demo accessories (e.g., range finders) to your demo inventory.

To upload new demo inventory, follow these directions:

  1. Go to Services > Demo Clubs > Inventory.

  2. Click "Manage Inventory via Spreadsheet."

  3. Select the option "Add New Inventory" (as shown below).

  4. Click "Next."

  5. You will be presented with a step-by-step guide to upload your inventory (shown below).

  6. Click the option "Click Here" to generate a spreadsheet template. You should use this template to upload your inventory.

  7. Click "Download Spreadsheet Template," and the Excel file will downloaded to your computer.

  8. Open the spreadsheet and add your inventory. Note: To prepare the spreadsheet for upload, review the "Preparing Your Spreadsheet" section below.

  9. Save the spreadsheet.

  10. In Golf Shop, click "Choose File" and select the file from your computer.

  11. Click "Upload Spreadsheet".

  12. Match the columns with our system attributes (if necessary). Some (or all) columns will automatically be matched (as shown below).

    Below the columns that were automatically matched, you can manually match unmatched columns by selecting our attribute that matches your column. In the example below, the "Lie" and "Loft" columns are being matched with our "Club Lie" and "Club Loft" attributes.


    If your column does not have an appropriate attribute to match with, you can upload the column as a custom field. To do this, click "New Custom Field" and enter the custom field information.

  13. Click "View Summary".

  14. Review the summary of changes.

  15. If you did not assign Tracking IDs and would like Golf Genius to assign them, at the bottom of the page, click " Automatically generate and assign Tracking IDs to items without Tracking IDs."

  16. After reviewing the changes and determining that they are appropriate, click "Apply Changes." Your demo inventory will be updated.

Updating Existing Inventory:

(Note: This method should NOT be used when adding new demo inventory to the existing inventory. Use the following options "Adding New Demo Inventory to the Current Inventory.")

You can also make changes to your demo club inventory via spreadsheet (e.g., change club information, add custom fields, add new clubs, delete clubs, etc.) after loading the original spreadsheet. This method may be quicker than going to the Demo Inventory List and making changes individually, and it is the preferred method when many changes need to be made.

To update the existing inventory via spreadsheet, follow these instructions:

  1. Go to Services > Demo Clubs > Inventory.

  2. Click "Manage Inventory via Spreadsheet."

  3. Select "Edit current Inventory details" (as shown below).

  4. Click "Next."

  5. You will be presented with a step-by-step guide to edit your current inventory (as shown below).

  6. Click the option "Click Here" to generate a spreadsheet containing the current inventory. You should use this spreadsheet to edit and upload your inventory. Note: Before making any changes to the spreadsheet, make a copy of the spreadsheet as a backup.

  7. Click "Download Current Inventory Spreadsheet," and the Excel file will downloaded to your computer.

  8. Open the spreadsheet and edit your inventory. Note 1: Review the "Preparing Your Spreadsheet" section below to prepare the spreadsheet for upload. Note 2: If you intend to sort, delete, or add new rows, unhide Column A. Column A, "GGS_ID," is an item ID in Golf Shop and should be kept with the matching item.

  9. Save the spreadsheet.

  10. In Golf Shop, click "Choose File" and select the file from your computer.

  11. Click "Upload Spreadsheet".

  12. Match the columns with our system attributes (if necessary). Some (or all) columns will automatically be matched (as shown below).

Replacing the Entire Inventory:

At the beginning of the season, it is not uncommon that you will completely replace your past season's demo inventory with a new inventory for your upcoming season.

To replace the entire inventory, follow these instructions:

  1. Go to Services > Demo Clubs > Inventory.

  2. Click "Manage Inventory via Spreadsheet."

  3. Select "Delete entire inventory and upload new inventory" (as shown below).

  4. Click "Next."

  5. You will be presented with a step-by-step guide to replace your inventory (shown below).

  6. Click the option "Click Here" to generate and download a backup of your current inventory.

  7. Click "Download Current Inventory to Spreadsheet," and the backup Excel file will downloaded to your computer.

  8. Click the option in the second row, "Click Here," to generate a spreadsheet template. You should use this template to compile and upload your new inventory.

  9. Click "Download Spreadsheet Template," and the Excel file will downloaded to your computer.

  10. Open the spreadsheet and add your inventory. Note: Review the "Preparing Your Spreadsheet" section below to prepare the spreadsheet for upload.

  11. Save the spreadsheet.

  12. In Golf Shop, click "Choose File" and select the file from your computer.

  13. Click "Upload Spreadsheet".

  14. Match the columns with our system attributes (if necessary). Some (or all) columns will automatically be matched (as shown below).

Deleting the Entire Inventory:

If you need to remove your entire demo inventory, follow these instructions:

  1. Go to Services > Demo Clubs > Inventory.

  2. Click "Manage Inventory via Spreadsheet."

  3. Select the option "Delete entire inventory" (as shown below).

  4. Click "Next."

  5. You will be presented with a step-by-step guide to delete your inventory (shown below).

  6. Click the option "Click Here" to generate and download a backup of your current inventory.

  7. Click "Download Current Inventory to Spreadsheet," and the backup Excel file will be downloaded to your computer. Your demo inventory will then be updated.

  8. Click "Permanently Delete Inventory" to remove the current inventory. Note: While your inventory will be deleted, the club details from the deleted inventory will still be stored in your past demos.

Preparing the Spreadsheet:

Before uploading the spreadsheet of your demo club inventory, make sure it meets the following requirements:

  • Utilize the downloaded Template from Golf Shop for best results.

  • Spreadsheets must be in XLS, XLSX, or CSV format.

  • The spreadsheet must have only one worksheet.

  • The first row must have column headings (e.g., Kind, Club Type, Make, Model, Loft, etc).

  • Each row should only have the data for one demo club.

Below is a screenshot of an acceptable spreadsheet.

When compiling the spreadsheet, you should include:

  • Tracking ID: This ID (must be unique) is displayed in the club/component selector when checking out a demo club so the Tracking ID can quickly identify the club. If you do not include Tracking IDs in the spreadsheet, they will be generated for you after the upload.

  • Kind: If interchangeable club heads and shafts are entered into the inventory, this field should be included to identify the item as a full club, head, or shaft. The answers to these fields must be "full club", "head", or "shaft". If left blank, they will be considered full clubs.

You can also include any additional club details that you'd like. The details being uploaded will be stored in the demo club inventory.
