LightSpeed Integration

If you use LightSpeed as your point-of-sale, your members (and their information) can be imported to Golf Shop and synced from your LightSpeed roster every 2 days. Some considerations should be made before enabling this integration:

  1. Are you syncing your LightSpeed roster to Golf Genius Tournament Management?

We will cover a couple of scenarios to help you decide if you should consider implementing this integration:

  • Scenario to consider implementing this integration:

    • Scenario 1: You do not have Tournament Management and want your LightSpeed roster synced to Golf Shop.

    • Scenario 2: You do not sync your LightSpeed roster to Tournament Management but want it to sync to Golf Shop.

    • Scenario 3: You sync a portion of your LightSpeed roster to Tournament Management, but you want more synced to Golf Shop.

  • Scenario to not consider implementing this integration:

    • Scenario 4: You do not have a LightSpeed roster.

    • Scenario 5: You sync your LightSpeed roster to Tournament Management and want the same roster synced to Golf Shop. In this case, utilize the Tournament Management Roster Sync.

Note: This integration cannot be enabled at the same time as the Clubessential or Golf Genius Tournament Management Master Roster Sync. Enabling LightSpeed will turn off those options.

Given the considerations listed, if you meet one of the scenarios and are interested in implementing this integration, please contact your Account Manager to have the integration enabled, and then proceed to the instructions below.

In this article, we outline the integration with LightSpeed, enabling seamless synchronization of your rosters.

Enabling the Integration

To enable your LightSpeed integration, follow these directions:

  1. Navigate to Club Details > Integrations.

  2. Locate the "LightSpeed Integration" section.

  3. Click "Connect to LightSpeed" (as shown below).

  4. Log in to your LightSpeed account and approve access.

  5. Click "LightSpeed Roster Sync Settings" (as shown below).

  6. Click "Sync LightSpeed Fields" and select the fields you wish to sync to Golf Shop (as shown below). Note: Several fields are mandatory and cannot be unchecked, including Customer ID, First Name, Last Name, Email, Cell Phone, Customer Type, Member Number, Date of Birth, Gender, and Last Modified.

  7. Apply filters to exclude certain members from the sync. Multiple filters can be applied, and if any of those rules are matched, the member won't be synced to Golf Shop (as shown below). Note: Archived and deleted customers in LightSpeed are automatically excluded from the sync.

  8. Turn on "Push Members to LightSpeed (Optional)" if you want members created in Golf Shop to also be created in LightSpeed, and select a Default Customer Type — the LightSpeed customer type assigned to every member pushed (as shown below).

  9. Click "Save" to apply the settings.

Post-Setup

  • Initial Sync: Depending on the size of your member database, the initial sync may take some time to complete.

  • Ongoing Syncs: Subsequent syncs will occur automatically every 2 days.

  • Monitoring: Monitor the integration status within the LightSpeed Roster Sync Settings page.

  • Troubleshooting: If you encounter any issues, please refer to the troubleshooting section below or contact our support team.

How Members Are Matched

When merging LightSpeed customers to your Member Roster, matches are made in the following order:

  1. LightSpeed Customer ID

  2. LightSpeed Member Number custom field, if present

  3. Primary email address

A new Member is created in Golf Shop when no match is found.

Note: Members previously synced from LightSpeed but no longer returned by LightSpeed (and not archived in LightSpeed) are soft deleted, with the ability to restore them in Golf Shop.

Making Changes to Member Profiles

If Push is turned off, make all Member Roster changes in LightSpeed — the changes will then be reflected in Golf Shop on the next sync. If Push is turned on, changes made in Golf Shop to a Member already linked to a LightSpeed customer sync back to LightSpeed automatically.

The only time changes in your LightSpeed roster will not be reflected on the Golf Shop roster is when custom fields are locked from being overwritten. For more details on locking custom fields, Click Here.

Manual Sync

To sync your Member Roster with LightSpeed at any time, follow these directions:

  1. Navigate to Club Details > Members > Roster.

  2. Click "Sync LS Roster" (as shown below).

Adding New Members and Pushing to LightSpeed

When Push is enabled, a "New Member" button is available on the Member Roster as well as the following feature forms, so you can create a Member on the fly without leaving what you're working on:

Clicking "+ New Member" opens the member details form. When Push is enabled, the action button reads "Save and Push to LightSpeed" (or "Create and Push to LightSpeed" from the Member Roster) instead of the standard save option (as shown below).

If a LightSpeed customer with that email doesn't already exist, or exists but isn't linked to another Golf Shop Member, the push completes automatically. If that email is already linked to a different Member, the "Push Member to LightSpeed" window appears (as shown below). Click "Continue push" to create a new LightSpeed customer sharing that email, or "Cancel" to stop the push.

Once a member is pushed successfully, the Golf Shop Member and the LightSpeed customer stay linked, and future updates from either system sync automatically without prompting again.

Troubleshooting

  • Data Sync Errors:

    • Verify your LightSpeed connection is still authorized; reconnect if needed.

    • Check for any network connectivity issues.

    • Ensure that the required data fields are available in your LightSpeed account.

  • Data Discrepancies:

    • Review the last successful sync time to identify potential data changes.

    • Manually compare data in both systems to pinpoint discrepancies.
