Lost and Found Dashboard with the Mobile App

A member calls asking whether the glove they left on the range yesterday has turned up — but you're out on the course, not sitting at the front desk computer. The Lost and Found Dashboard on the Mobile App puts the same tracking and management tools found on the Lost and Found Dashboard on a web browser directly on your phone or tablet, so lost and found items can be logged, searched, and resolved from wherever you are in the shop or on the course.

Note: Managers without Lost and Found permission will not have access to this feature on the Mobile App. For more details, review the Permissions section below.

Lost and Found Dashboard on the Mobile App

The Lost and Found Dashboard on the Mobile App displays a header with a back arrow and the "Lost & Found" title, a search bar, a filter dropdown, and a scrollable list of item cards (as shown below).

Each item card displays:

  • Status (color-coded).

  • Category.

  • A shortened description (tap to view the full text).

  • Customer name.

  • The most recent Lost on or Found on date.

Tap a card to expand it and view (as shown below):

  • Customer name.

  • LF# (item number).

  • Item location.

  • Lost or found date.

  • Attached photos.

  • The available next-action button for that item's status.

Pull down on the dashboard to refresh the list. The navigation toolbar at the bottom of the screen provides access to the Dashboard, Locations, and Categories.

Search and Filter Lost and Found Items

Use the search bar at the top of the Dashboard to search by item number, description, customer name, or category. Use the filter dropdown to narrow the list to one of the following views:

  • Lost and Found Items

  • Lost Items

  • Found Items

Statuses and Status Actions

Each lost and found item is assigned one of the following statuses:

  • Lost (Red): The item has been reported as lost.

  • Found and Unclaimed (Black): The item has been found, but the owner has not yet been identified.

  • Found and Claimed (Yellow): The item has been found and the owner has been identified.

  • Returned to Owner (Green): The item has been returned to its owner.

Note: Items with a status of "Returned to Owner" are removed from the Mobile App dashboard 24 hours after the status changes.

Based on an item's current status, tap the next-action button on an expanded item card to move it forward:

  • Lost: Can be marked as Found, which opens a form to enter the Found Date, Found By (type and name), Found Location, and Current Location.

  • Found and Unclaimed: Can be marked as Claimed (enter the Claimed Date and Claimed By type and name) or moved directly to Returned to Owner (enter the Claimed Date, Claimed By, and Return Date).

  • Found and Claimed: Can be moved directly to Returned to Owner with a single tap, since the claim information has already been logged.

  • Any item beyond its initial status: Can be reverted to its previous status using "Revert to Previous Status" in the three-dot menu. This requires confirmation.

Reporting a New Lost or Found Item

To report a new lost or found item, follow these directions:

  1. Tap the "+" button on the Lost and Found Dashboard.

  2. Choose the Lost Item or Found Item toggle. The fields on the form adjust based on your selection.

  3. Enter the following:

    • Lost Date (or Found Date).

    • Customer Type: Member, Guest, or Staff.

    • Customer Name: To add a customer who does not have a record, tap "Add New Guest" and enter their name, email, and phone number. Toggle "Save to Roster" to save the guest for future use.

    • LF #: Defaults to the next sequential item number, but can be edited manually.

    • Item Category.

    • Description.

    • Found Location and Current Location (found items only).

  4. Click "Save" to add the item to the Dashboard.

Note: Any staff member or golf shop personnel can be added as an Internal Note on an item, visible only from the expanded item card.

Item Details

Once a lost or found item has been saved, tap "Item Details" (as shown below) to view attached photos, notification settings, and the activity log.

Editing a Lost and Found Item

Tap "Edit" on an expanded item card to update its information. The fields available depend on the item's current status. An information icon next to any locked, historic timestamp explains that the item's status must be reverted before that date can be edited. Golf Shop will not allow a Found date to be entered earlier than the Lost date for the same item.

Deleting a Lost and Found Item

To delete a lost or found item, tap the three-dot menu on an expanded item card and select "Delete." This requires confirmation.

Note: Deleted items are hidden from the Mobile App. To restore a deleted item, use the "Lost and Found Dashboard Search" on a web browser and select the "Deleted" option.

Permissions

Access to Lost and Found on the Mobile App is controlled by permissions. Managers without Lost and Found permission will see a disabled Lost and Found button on the home page, and links to specific lost and found items will not open. Managers with read-only access can view the Dashboard and item details, but cannot add, edit, or delete items or manage Locations and Categories.
