The Report Center

To better meet your reporting needs, we are excited to introduce the Golf Genius - Golf Shop Report Center. The Report Center includes valuable reports enabling you to get the special order and demo club information you need.

The reports are neatly organized into appropriate categories where they can be previewed and downloaded at any time. We've introduced the following new reports:

  • Special Order Report: This report contains detailed information about your special orders. It has three separate sheets that organize special order information by vendor, member, and special order. The report includes useful data like total wholesale, total retail, total revenue, profit margin, and much more.

  • Demo Club Inventory Report: This report provides a great snapshot of your current demo club inventory. It includes separate sheets for clubs currently being borrowed, clubs currently in the shop, and all clubs in the inventory. The report includes useful information like total times a demo club has been checked out, member contact information, and expected return date.

  • Historical Demo Report: This report contains the details of the demo activity at your facility. You can view the activity by specific demo club, member, or instance of a demo. The report contains useful information like total days a demo was checked out, average checkout duration by a member, and total number of demos checked out by a member.

The new reports are exported in spreadsheet format, which gives you the flexibility of sorting and filtering to your needs.

Member Custom Fields

Having easy access to detailed member information helps the golf shop operation provide a professional and personalized member experience. With this release, we are introducing the ability to create and store custom fields (e.g., member number, shirt size, birthday, etc) so that you can quickly find the specific member information you are looking for. You can also insert these custom fields into your automated text messages and emails.

For users who have their member roster synced with their TMS roster, all of the TMS custom fields are now automatically imported. The imported fields can then be hidden or displayed in the roster.

Vendor Custom Fields

We understand the information in every golf shop's vendor "rolodex" is different. Because of this, we've introduced the ability to also create and store custom fields in your vendor list. When doing so, the custom fields can be quickly accessed in the vendor list as well as viewed on the special order summary.

Multi-Component Demo Clubs

The driver and fairway wood demo inventory for most golf operations includes interchangeable club heads and shafts. Previously, this scenario was difficult to manage because a separate demo would need to be created for every component.

In this release, we solved the problem by introducing the concept of multi-component demo clubs. An item entered into the demo inventory can now be listed as a full club, club head, or shaft. When checking out a demo club, you can then match a club head and shaft together to form a single demo.

Multi-Club Demo Checkout

It's not unusual for a member to grab a few clubs out of the demo club bag before a round and hurry to the first tee. To speed up the checkout process in these situations, we've added the ability to check out multiple demo clubs, all at once, in one form.

PO Number Customization

We currently generate running PO numbers as special orders are created. However, we've noticed that many of our customers have their own method of generating PO numbers. In some cases, the PO numbers need to be customized to align with the process already established at the club.

To meet the needs of these clubs, we've introduced the ability to override and customize the originally assigned PO number when entering a special order.

Additional Enhancements

In addition to the enhancements above, we've also added the ability to:

  • Add new managers

  • Add internal notes to special orders

  • Enter the expected ship date of an order

  • Enter the shipping cost of a special order

  • Mark an order as returned

Demo Club Form Customization

With this release, we have introduced the ability to fully customize your demo club form by allowing you to store only the club information you need.

The demo club form can now include a combination of system fields (already made available) and custom fields (created by you). These fields can be reordered, renamed, or even removed to allow for full customization.

Demo Club Spreadsheet Upload

Previously, your demo club inventory could only be entered manually. To remove this time consuming process, we have introduced the ability to upload your demo club inventory using a spreadsheet.

When uploading your demo inventory, you can match the fields in your spreadsheet with the fields in Golf Genius Golf Shop. You can also create new demo club custom fields during the upload process.

Text Message Notifications

One of the great benefits of Golf Genius Golf Shop is the ability to keep in constant communication with your members with special orders and demo clubs. In addition to email notifications, you now have the ability to send automated text message notifications to customer cell phones.


The notifications can be sent in the following instances:

  • Special order has been placed

  • Special order has shipped

  • Special order has been received

  • Demo club is expected to be returned

  • Demo club is overdue

You can also enable or disable these notifications and customize the messages to fit the needs of your operation.

Dashboard Enhancements

Previously, there were five stages in the special order process. After receiving valuable feedback from our customers, we realized two of these stages were nonessential and the dashboard could be simplified. To streamline the process, we reduced the special order dashboard to three stages (Orders to Place, Orders Placed, Received by Club).


There is no longer an "In Transit" stage. When an order is in the "Orders Placed" stage, you can optionally enter shipping details, which will send the appropriate notifications to the customer.

We also removed the "Completed" Stage. Once an order is finalized and marked complete (while in the "Received by Club" stage), it is archived and removed from the dashboard.

Custom Logo & Banner

When communicating with your Members or guests, we know managing your brand is very important. Now, you can personalize all communications by adding your club logo and custom banner to your account. Once added, all outgoing emails will include the club logo at the bottom and the club banner at the top.

More Communication Options

Automated communications are a great time saver! Before today’s release, you had the option to enable/disable all automated communications, affecting communications system-wide regardless of the stage the order might be in. Now, you have the option to choose which stages have automatic emails enabled/disabled, giving you more flexibility and allowing you to spend your time elsewhere!

Custom Email Templates

Communicating with your customers is very important and managing the look, feel, and content of what is sent to them is paramount. Until now, emails were automatically sent to your customer as the order moved through the different stages of the special order process - these were predetermined messages that applied to all Golf Shop accounts. Now, you have the ability to create custom email templates at each stage of the order communication process. In addition to creating your own custom message, dynamic fields have been added making it easy to include more personalized information without adding more work.

Demo Club Notifications

Often times, a customer will borrow a demo club fully intending to bring it back within a few days. As they get busy, it can slip their mind leading to losses of inventory or overdue delays, as well as preventing more sales. In order to limit these losses or delays in returning the club, we now provide demo club notifications in the form of custom email reminders. These can be set to email the customer a specific number of days before the demo club is due back and/or when the club is a certain number days overdue.

Orders by Vendor

When placing an order to a vendor, it is often helpful to see how many orders are available for that specific vendor and ready to be placed. Now, you can quickly see the number of unassigned Orders for each Vendor in the Place Order To Vendor screen, allowing you to easily view how many orders need to be placed.

View Logo from Dashboard

Previously, to view the logo attached to an Order, you had to Edit the Order to see the file. Now, you can easily verify the logo that is attached to an Order from the Dashboard screen. Simply click on the logo in the top right-hand corner of the Order Tile to see a preview.

Automatically Assign PO Numbers

When taking orders on a busy day, you may want to auto-assign a PO Number when you create the order - saving you time and an extra step. With today's release you now have the ability to choose "Save & Create Order", assigning the PO Number automatically, or "Save & Order Later".

Easier Visual Navigation

A new visual ‘breadcrumb’ separated by a bullet point has been added to indicate the area you are currently viewing.

  • Club name visible on dashboard under Golf Shop logo

  • Orders in pipeline view on the Special Order Dashboard now sort by PO number

  • Ability to edit shipping details in multiple stages of the Special Order process
